What you'll accomplish
Every monitoring report starts with the same blank headings, and every results section starts with you retyping what the table already says. A Claude Project holds your firm's headings, your style notes and two public examples, so each new section draft arrives in your house format with every number tagged to a table cell. You still check the tags, and the project manager still owns every conclusion.
What you'll need
Data caution. Client site data, site addresses, owner and tenant names, lab reports, boring logs, photos and unpublished reports stay in the firm's approved systems. This setup works on invented data, public documents, column names and coded placeholders such as "[Client]", "[Site code]", "Site S-01" and "MW-3". Before any real results table goes into a Claude chat, confirm that your firm and the client both approve this tool for that data. Then check Claude's privacy and data settings for whether chats are used for training and how long they are kept. A free consumer plan can differ from a business plan on both points.
Claude uses what you put in a project as background for every chat in it. Keep the files short and clean.
report-headings.txt.style-notes.txt. Cover tense, how you write dates, how you name wells and samples, how you label tables, and any phrases your reviewer always strikes. What you should see: Four files in one folder on your computer. Troubleshooting: If a PDF is a scan, Claude may extract little or no text from it. Use a text-based export of the report instead.
What you should see: An empty project page with areas for instructions and for knowledge or files. Troubleshooting: Anthropic notes that a new version of projects is rolling out in stages. If your screen differs from this description, look for the same two things: an instructions area and a place to add files.
What you should see: Four file names listed under the project's knowledge.
Project instructions apply to every chat in the project. Paste this text into the instructions area exactly.
Draft report sections for an environmental monitoring report. Follow the heading order in report-headings.txt and the voice in style-notes.txt.
Use only the notes and tables pasted into the current chat. Do not use outside knowledge about any site, analyte, method or regulation.
When a table has a comparison column, use that column's wording exactly (for example "Above SV"). Do not compare any result with any value yourself.
Do not calculate counts, averages, ratios or differences. If a count or average is pasted from the spreadsheet, quote it as pasted.
After every sentence that contains a number, add a tag in square brackets naming the table cell or pasted line it came from, for example [C3] or [Counts].
Never write a conclusion, a recommendation, a regulatory statement or a figure that is not in the pasted table. Never describe a result as safe, clean, contaminated or acceptable.
If a needed fact is missing, write [not provided] instead of filling it in.
At the end, add a heading "Unsupported statements" and list every sentence in my pasted notes that no table supports.
Label every output "Draft for project manager review".
Use each inside the project, with a table and notes pasted in the chat.
What you should see: The instructions saved on the project page. Troubleshooting: If Claude ignores a rule in a later chat, paste the rule again in your message and check whether the instructions saved.
