What you'll accomplish
By the third week of a job you have a work plan summary in one window, a list of open questions in another and half a draft email in a third. A ChatGPT Project keeps the chats for one job together with the same background and the same standing instructions. You get one place to prepare for the next field day, track open questions and draft emails, and it holds only public background and a coded summary of your own work plan.
What you'll need
Data caution. This Project holds public background and a coded summary of your work plan, nothing else. Client names, site addresses, owner and tenant names, lab reports, boring logs, photos and unpublished reports stay in the firm's approved systems. Use client data only if the firm and the client approve ChatGPT for it. Before you add any file, open ChatGPT's data controls and check whether chats and files are used for training and how long they are kept. Check whether the Project can be shared, and keep it private. Photos carry location data, so strip it from any photo before it goes outside the firm's systems.
workplan-summary.txt.What you should see: A short file with no real names, addresses or values. Troubleshooting: If you are unsure whether a detail belongs in the file, leave it out and ask your project manager.
What you should see: A project page with places for instructions and files. Troubleshooting: If you cannot find Projects, your plan may not include them. Check OpenAI's help pages.
Look for the Project's instructions or custom instructions area. Paste this text.
This project holds public background and a coded summary of my own work plan. Treat everything as placeholders: [Client], [Site code], Site S-01, MW-1 to MW-5, Lab A.
Help me with three things: field day prep questions, a running list of open questions, and draft emails.
Never ask me for, and never write, a site address, client name, owner name, result, screening value, holding time, bottle requirement or regulatory requirement. For those, write "check the work plan", "check with the lab" or "ask the project manager".
Do not invent site history, records, citations or observations. If a fact is not in this project, say it is not provided.
Never decide a conclusion, a limit, a comparison or any question about site safety. Never write or change a health and safety plan.
Label every draft "Draft for my review".
What you should see: The instructions saved on the project page.
workplan-summary.txt and any public background documents. What you should see: The files listed under the Project. Troubleshooting: If a file will not upload, convert it to text or PDF and try again.
